1. At Work--and at Play
At the 2005 E3 trade show, the big news was the extreme capabilities of the next Xbox and PlayStation consoles--these machines will more closely resemble home media computers rather than game devices. And with flat-screen monitors that double as TVs and cell phones that double as PDAs and MP3 players, the convergence of tech for work and play may reach a crescendo in the next few years.

What does this mean for your business? Maybe you'll return to the heady dotcom days and offer your employees a game console for break times. After all, you can also use it to play back video and digital photos in meetings. And a cell phone that plays music could be handy in traffic, but one that plays MP3s of the latest business audio book can also keep you informed on the go. So don't pooh-pooh the latest consumer devices as having no potential for business use--with a little imagination, you can mix business and fun.

2. Prepare to Get Mini
The mini computer packs a full-fledged PC into a package the size of a laptop battery, and can be used at your desk or as a portable computer--they're smaller than the slimmest laptops, and they don't have the limited capability of a PDA. And they come equipped with all processing power, memory and ports you'd expect in a regular computer, minus the bulk and weight. Some have docking cradles and can be used as tablets, while others feature slide out screens, but they're all small enough to be able to slip into a purse or pocket. Unfortunately, they're still cost prohibitive: A mini PC can cost as much as $4,000, whereas a regular computer with the same processing power can be purchased for less than $500. At this point, mini PCs are really a fashion statement for the ultimate early adopter, but keep your eyes peeled because once prices drop, they could change the way that everyone does business out of the office.

3. Next Gen Cell Phones
3G, or third-generation, cell phone networks are popping up all across the country. And they're not just for making phone calls. Current releases offer a variety of capabilities, including on-demand video services that let you watch streaming video clips on your phone, built-in camcorders that record video, still cameras to snap pix, MP3 players to play your favorite music, and mini SD cards, Memory Sticks or Multimedia Memory Cards to save and transfer it all between devices. 3G Smartphones sport mini keyboards to save your thumb from cramping up during marathon text message sessions, feature Windows Mobile OS and can be Bluetooth or Wi-Fi-enabled. GPS-equipped cell phones also just made their debut. Use them to get driving directions while on the road or to keep track of employees.

4. Inventory Gets Smart
Radio Frequency Identification (RFID) embeds tiny data-packed radio transceiver chips into all kinds of goods and containers. Like a talking bar code, an RFID chip can talk to a scanner several feet away and tell it far more than a printed label, even from inside an unopened carton. The technology has been around for decades, but has only recently come into use. The Department of Defense and Wal-Mart are already taking advantage of RFID. Once pricing gets friendlier and some standards are worked out, the technology will trickle down to smaller retailers and businesses.

"When transportation companies begin reading carton and pallet tags as shipments are loaded, transferred and delivered, this could provide smaller retailers with the same level of tracking that UPS and FedEx provide," says Bert Moore, director of IDAT Consulting and Education, a Pittsburgh technology consulting firm. "Better tracking will allow managers to better schedule work flow and inventory."

Better yet, the technology may offer innovative firms a new technology to play with. "This is an innovative technology similar to the Internet," says Mark Roberti, editor of RFID Journal. "When that happened, we saw a wave of innovation from small companies. This is far more dramatic than connecting computers. You can now make any object smart."

5. Roaming With VoIP
Imagine not having to use your cell phone minutes when talking at home, in the office or near a Wi-Fi hotspot. Or, if you have terrible mobile coverage in the office (or at home), imagine being able to walk into your office and have the phone automatically switch from the poor wireless connection to your VoIP network. VoIP-to-mobile service is the next big idea for phone service, and it could prove to be quite the money-saver for entrepreneurs. While some phone manufacturers have developed or are developing phones that can handle both wireless and VoIP calls, the reality of this service isn't quite here as the technology is still developing and there's much infrastructure to be developed by providers. But it's something to keep your eye on--be an early adopter and you could save big bucks on your phone bills.

6. A New Way to Go Wireless
WiMAX is a new wireless option for entrepreneurs either unserved or under-served by fixed-wire cable, DSL or T1. With WiMax, data travels through the air at the same rates of a T1 line. It may not be in your town yet, and technically, it won't be anywhere until year's end, when the WiMAX Forum starts certifying the interoperability of this kind of transmission gear. But pre-WiMAX services are already available in dozens of cities nationwide at cut-rate prices. Both startup and long-standing wireless ISPs are switching over to better wireless transmitters at a pace analysts expect will bring WiMAX to America's 50 largest urban centers and countless rural areas by the end of the year.

In 2006, once WISPs can mix and match gear from multiple suppliers, commercial rollouts will zoom, says Jeff Thompson, president of TowerStream in Boston. WiMAX users won't notice that watershed because, unlike Wi-Fi, customers don't buy access points. But the point of standardization is to drive down equipment costs--and in open markets, those savings tend to filter down to customers. Ultimately, Thompson says, you'll pick up a small WiMAX modem for Wi-Fi prices at Best Buy or CompUSA, then choose from a variety of service providers.

Start Controlling Your Tech--Before It Controls You

7. Increase Communication With Far-Flung Employees
It sounds basic, but the first step in setting up a technology solution for working with offsite employees is to figure out just what you need to do with your extended work force. Most growing businesses with multiple work sites will have two particular needs at the top of their list: the ability for employees to talk with each other on a minute-by-minute basis and the ability to have access to files away from the office. To add to the challenge, these needs have to be met at a price point that won't strain the budget.

Meeting these requirements doesn't require deep secrets or complex technology. Basically, it's about e-mail, telephones and IM. For e-mail, outsourcing can provide extra features, higher security and web access. For IM, you can use the many free solutions offered online. And if you want access to customers no matter what IM platform they're using, try chat clients like Trillian that allow you to cross platforms. And for that pesky file-sharing problem? Look for in-house servers that offer secure web access and online file sharing.

8. Use Wiki to Ease Collaboration
Chances are, you may be familiar with wiki by way of Wikipedia, an online encyclopedia fed by contributions from thousands of people. A wiki is a web page that multiple users can collaborate on--it's generally basic in design and easy to use. Now, like the blogging phenomenon, wikis are starting to work their way into the business arena.

Ross Mayfield, CEO and co-founder of Palo Alto, California-based Socialtext, a group productivity and wiki solution provider, says wikis have two main benefits: They boost group productivity and also act as a business knowledge base where information is logged and easily accessible. The constantly-changing nature of wiki means it may never be completely finished, but it does remain up-to-date. Mayfield says candidates for wiki use include companies that generate a lot of documentation through groups, are team-project-oriented or seek a collaborative writing environment. Just freeing your inbox from the heaps of cc'ed e-mails and boosting productivity can be worth the investment.

9. Reining In Employee Tech Time
Consider this: A 2004 study by The ePolicy Institute and American Management Association found that 10 percent of employees reported more than half their day is spent working on e-mail, up from 8 percent in 2003. Eight-six percent of the respondents said they engage in personal e-mail at work. And a staggering 90 percent of employees spend up to 90 minutes daily sending IMs.

But before you unplug your e-mail server, consider that although these tools are distracting, they also empower productivity. So rather than taking Draconian measures, seek to control, manage and leverage technology so you get more of the good and less of the bad effects.

Nancy Flynn, executive director of The ePolicy Institute, recommends a three-pronged approach employing policies, training and enforcement, including software to monitor online activities and penalties for rule-breakers. Your e-mail policy should define whom employees can communicate with, as well as when and for how long they can do it for personal purposes. Training should explain why the policy is necessary--and don't forget the penalties. Choose wisely, because you may have to apply them.

10. Create a Continuity Strategy
You never know how much you depend on technology until you don't have access to it anymore. If a disaster strikes, you may not only suffer direct losses of data and hardware, but indirect losses due to downtime. But with some foresight and planning, you can avoid sustained downtime--and lost profits.

First, create a broad, holistic plan to ensure business continuity, not just disaster recovery. This plan should involve every part of your business, such as processes, operations, assets, employees and so on. Your overall goal: to prevent business disruption--then minimize it if it does occur. To this end, you should:

  • Conduct an impact analysis. How much downtime, loss of productivity, loss of data, loss of revenues and so on can your company sustain? For how long?
  • Develop a plan for dealing with mission-critical (revenue-impacting, customer-facing) functions and business-critical (back office, supply chain, e-mail) functions under various disruptive scenarios. Determine which business technologies to employ.
  • Educate your workers about the plan before a crisis occurs.
  • From time to time, revisit the plan to make sure it remains practicable and viable.

11. Do You Really Need That Tech?
Before you make a large tech expenditure, make sure you actually need whatever new technology you want to buy. Inventory all your current PCs, printers and software, and look for opportunities to consolidate purchases, standardize configurations and root out duplication. A recent study of IT purchasing by New York City consulting firm McKinsey & Co. included one example company that had 30 percent more printers than it needed. The company was also able to reduce PC configurations from 10 to three. To continue spending smart, pick a team of people--be sure to include at least one IT expert--and meet with them regularly to discuss what they need and how to save on it.

Protecting Your Business and Your Data

12. No More Passwords
Biometrics is the use of body measurements to identify people. These technologies rely on the uniqueness of the human body to identify individuals, literally measuring your biological features and behaviors. The technology can scan your fingertips, hands, face, iris, retina, voice pattern or even behavioral characteristics. Eventually, passwords may become unnecessary since biometrics provide a convenient replacement and don't require memorizing obscure combinations of letters and numbers.

Fingerprint identification is making its way into portable devices like cell phones, PDAs and laptops--hardware that's vulnerable when lost or stolen. Since businesses can't afford to lose their data, fingerprint readers make more sense than password protection. The appearance of fingerprint readers in cell phones is the most recent development (coming soon to the US), but they already exist on some laptops and PDAs. External fingerprint scanners have been available for a while, and are growing in popularity.

13. Protect Yourself From Identity Theft
What can you do to make sure your business information isn't stolen? How can you make sure that no one charges personal purchases to your accounts and ruins your business credit history? Limit the employees who have access to sensitive information, screen outsourcing companies thoroughly, and always encrypt sensitive data on your computer network. One form of business ID theft happens when criminals forge payroll checks against your business accounts, so always guard check stock like cash. And don't use preprinted check stock; instead, encourage direct deposit, and shred sensitive documents on a regular basis.

14. Catch 'Em on Camera
Wherever you need an extra set of eyes, a wireless video surveillance camera can help. Don't expect to see sharp details, especially in poor lighting situations, but do expect cameras you can monitor remotely via internet. Just plug them in wherever there's a power supply (although cameras without power cords are on the horizon). Just don't forget to enable your Wired Equivalent Privacy (WEP) and password protection to keep your video signal away from wireless snoops.

15. Don't Let Power Surges Wipe You Out
A power conditioner is a device that hooks up between an electrical outlet and your electronic equipment to keep the flow of electricity constant. A UPS device, or uninterruptible power supply, is basically a battery back-up. It buys you time in case of a catastrophe because if the power goes down completely, the UPS kicks in and gives you a few precious minutes to save your work and shut down your computer. Higher-end UPS devices often come with handy software that automatically saves your work and shuts the computer down as needed.

Besides protecting you against full power outages, a UPS also acts as a surge protector, guarding against the sags and spikes that can cause equipment headaches. For added protection, look for a UPS with a phone jack. Running your modem line through a UPS protects your computer from "back door" damage. Don't forget that lightning strikes that cause sudden electrical spikes can travel through phone lines as well as electrical lines.

16. Back It Up Daily
It's crucial that you back up your business data every day. If you have a small amount of data (less than 1 Gigabyte), recordable CDs are inexpensive--you should be able to buy a year's supply for less than $200 at most office supply stores. You can save even more money by buying CD-RWs that can be erased and re-recorded over and over again.

Regularly check to make sure that you can actually recover data from your backup disk, tape or CD-ROM. Try downloading specific files from the disk onto your home PC or a computer that is configured differently from your office server. And make at least two backup disks, tapes or CD-ROMs, and keep one in a secure offsite location, protected from natural disasters and theft.

One more thing: Don't forget that whomever hosts your website may also suffer a disaster. If the computer server on which your website is located is destroyed, your site is gone. Make sure that your ISP or web hosting service gives you a CD-ROM containing all the HTML, Java scripts and other software code for your site. Whenever you update or change your site, be sure to get an updated CD-ROM for the entire site.

Networking: Time to Ditch Those Wires

17. Coming Soon: 802.11i
There's a new letter to add to the Wi-Fi alphabet: 802.11i is a standard aimed at shoring up some of the security problems associated with previous versions of the networking technology. That's good news for businesses concerned about snoopers intercepting sensitive data. Previous solutions like WEP have been prone to hacking. Those who've held off on going wireless due to security concerns can look for 802.11i-compliant Wi-Fi hardware.

Major manufacturers are expected to implement the new standard with a focus on business hardware first. The new standard protects data with one of the strongest forms of encryption available, Advanced Encryption Standard (AES), which supports 128-, 192- and 256-bit keys. It's used in conjunction with other encryption standards used in 802.11g.

18. Say No to Dead Spots
Antennas and repeaters are the two most popular ways to stretch your signal on the cheap. Directional and omnidirectional are two terms you'll hear a lot. The omni-directional antenna boosts the signal for 360 degrees, while the directional antenna focuses the extended signal in one direction. There are also Wireless PC Cards with antennas for laptops and desktop antennas that attach to a desktop wireless network card. When selecting range-extending hardware, check with your hardware's manufacturer to avoid compatibility snags.

Repeaters are usually more expensive than antennas. A repeater acts as a relay station to pick up your wireless signal and bounce it along into those hard-to-reach corners and dead spots. Keep in mind that repeaters effectively cut bandwidth while expanding range, so use them sparingly.

19. Mesh Networks
The next step in wireless networking may be mesh networking. Also called multihop networking, it extends the range and strength of a network by using multiple access points. The more nodes you have interconnecting, the better. Each node acts as a router and can talk to other nodes instead of having them all talk back to a main base station. That's a boon for flexibility and reliability: If one node goes down or is too busy, the rest can reroute the traffic. Mesh networking can be used to cover big areas, like an entire city, or older office buildings that give regular Wi-Fi setups fits. It can also extend networks without setting up new base stations.

20. Use Wi-Jacks
While Wi-Fi is a convenient advance, installing a large wireless network can be costly. Large offices and older buildings require special care to extend the network to every nook and cranny. Wi-Jacks are the latest hardware offering aimed at making Wi-Fi easier and cheaper for businesses. Wi-Jacks are Wi-Fi wall outlets that fit an access point into a standard data wall outlet (the kind you're familiar with for Ethernet use) so you avoid installing costly access points on the ceiling. Lower installation costs permit more of a grid approach to building out a wireless network--good news for larger networks, where getting adequate coverage is an issue. Small businesses will still be content with standard hardware, but if you're considering upgrading to wireless or moving into a new building, check into Wi-Jacks.

21. Why Set Up a Wireless Network?
While setting up a traditional wired network for your computers and peripherals is still a viable option, wireless networks are becoming faster, more affordable and easier to adopt than ever. Growing small businesses that have adopted a wireless solution are already reporting immediate paybacks in higher productivity, flexible application mobility and greater worker satisfaction. A wireless infrastructure can make it easier to reconfigure your office space as your company grows and changes. Also, the total cost of a wireless local area network (LAN) is relatively inexpensive--it's become very affordable in the past few years and prices are continuing to drop. When you take into account productivity gains, both inside the office and at public "hot spots," going wireless is an obvious choice, especially when compared to the cost of running a Cat 5 network LAN cable throughout a building.

Great Data Storage Solutions for Your Business

22. Increasing Memory the Easy Way
If you're running a one-person show, your network probably consists of just your computer and printer. If you're hitting memory capacity on that one PC, your best storage solution is an external hard drive that connects via USB or Firewire cable. Installation is a snap since most USB cables now install themselves, and they're easy to use since they just appear on your computer as another drive. You can use your new external hard drive to back up your files or simply to save memory-intensive files and graphics. And at less than $200 bucks for 200GB, they're a bargain.

23. DVDs--Not Just for Movies Anymore
Want a quick and easy way to store data? For periodic backups, DVDs are still cost effective. DVDs with DL (double layer) technology allow you to burn up to 8.5GB of data on each disk, up from the standard 4.7GB. And while double-layer DVDs may be slightly more expensive and have lower burn speeds, they make up for it in capacity.

24. Access Stored Documents Online
Web-based storage services allow business users to store their documents and other digital files on third-party servers and are usually subscription-based. This helps businesses continue to operate if there are any outages, crises or disasters at the main office. It also allows convenient sharing of large files and real-time collaboration between a business and its partners without clogging company e-mail systems and servers. Online storage services also provide access to content from anywhere there's an Internet connection. They reduce the cost of maintaining, storing and managing hard-copy documents on-site and reduce the risk of lost or misfiled paper documents. They are also scalable as your business grows. One important caveat: Your business must use a broadband connection to take advantage of these online solutions.

25. Share--and Protect--Data
Network attached storage (NAS) devices are dedicated storage that hook up to any available Ethernet port, so they're on a LAN rather than a server. It's an easily scalable solution for storing, organizing and sharing data among users on one or several interconnected networks. A big portion of NAS hardware is made up of hard drives so they're ideal for backing up data. And if they're RAID-ready (Redundant Array of Independent Disks), that's a plus because RAID management software allows you to share and/or duplicate your data across multiple disks, so if one goes down, you can make a quick recovery.

External flash memory comes in all shapes and sizes, one of the most popular being mini USB drives that are about the size of a thumb and plug into your computer's USB port. Getting your voice mails, faxes, e-mails and instant messages in one inbox is now possible through unified messaging (UM), also known as unified communications (UC). You may already get e-mail forwarded to your handheld or smartphone, as well as use these devices to access your voice mail and to send text messages. But vendors are also now offering services that combine your voice, e-mail and fax inboxes into one account, accessible via a mobile phone or internet-connected computer. You can listen to your voice mail on your computer or your faxes and e-mails via telephone using text-to-speech technology. All this functionality costs around $10 a month depending on where you live and your messaging needs.

30. Call Smarter
Smartphones are a combination cell phone/PDA that allow you to make calls, access your organizer, read and send e-mail, connect to the internet and even send text messages, reducing the hardware you need to haul around with you to keep in touch. Recently, smartphones have gotten even smarter with Mobile Multimedia Messaging (MMS). MMS goes beyond alphanumeric text messages by allowing you to send pictures, video and sound. MMS-enabled smartphones typically come equipped with digital cameras, video recorders, MP3 players, memory and the ability to accept memory cards.

The Basics of Wireless Connectivity

32. When You Need It Faster
As we explained above, unless your office happens to have no walls, furniture or people, you won't get anywhere near the transfer speeds or range attributed to 802.11g networking devices. But there are new adapters that transfer data several times faster and farther than 802.11g devices. Some claim performance beyond that expected from the next-generation 802.11n protocol, though that standard is far from being ratified. MIMO (multiple input, multiple output; also called pre-N adapters) works by using multiple radios to send multiple data beams that get picked up by multiple antennas. And the signals can ricochet off walls, furniture and even people. Vendors claim they're eight times or 800 percent better than regular radios, but don't expect those multiples when broadcasting to nearby access points--it's out on the edge of your network where MIMO -n adapters reduce dead spots and boost throughput the most. They also cost less than $100, so if you have a large area to cover with your wireless LAN, it's worth the investment.

33. Make Sure Your Network Is Secure
Because wireless communications are transmitted through the air rather than over a closed cable, you'll need to implement some wireless-specific security measures to ensure that your wireless communications are secure. Wireless solutions use three primary tactics:

1. MAC (media access control) addressing. This ensures the network access point you purchase supports MAC, which restricts network access by unauthorized devices by assigning each network card a unique hardware identification number.

2. WEP encryption. It's essentially a complicated software algorithm that scrambles data as it's sent and unscrambles it as soon as it's received, keeping it safe in transit. It also ensures that you can easily upgrade your access cards as new wireless access standards emerge.

3. VPN (Virtual Private Network). This works by encrypting data before it's sent over a wireless link, so even if someone intercepts the transmission, the data is secure. This allows users outside of your system to have access to it, and it's a must if you plan to use public 'hot spots'.

34. What Do You Need to Set It Up?
To maximize the interoperability of your hardware, buy all your equipment from the same manufacturer. To set up your wireless network, you'll need the three following key network components:

1. Wireless network interface cards (NICs), which are adapters for use

2. Wireless access points, which are wireless hubs for wireless enabled devices

3. End-user devices, such as PCs, handheld computers and WLAN phone handsets.

35. Wireless Standards
Companies with existing 802.11b wireless LANs (WLANs) likely will want to migrate to 802.11g, given the fact that 802.11g is backwards compatible with 802.11b. 802.11g is a good choice for companies with no existing wireless LAN, because it offers a 54Mbps maximum data rate, far greater than 802.11b. But it still has the same number of channels (three) and operates in the same 2.4GHz radio spectrum as 802.11b, so it can be used on 802.11b WLANs (like those that are used in hotels and hot spots in coffee shops and airports). It also supports the same robust wireless security capabilities as 802.11b.

Before you go shopping, figure out how many users need access to the network, which will determine the number of access points and NICs you'll need. You should also plan on where you'll connect your wireless LAN to your wired LAN. You may want to run a small amount of cable to a central location and in an open environment, the goal being to maximize the access point's wireless range. The quoted range is a maximum of 300 feet, but that's very dependant on the existing environment--walls, water pipes, furniture and other obstructions can decrease the range. Assume a maximum range of 150 feet, as 300 could decrease throughput. Once you purchase your wireless devices, configure them to work with your network.

36. Why Go Wireless?
Wireless networking is affordable and offers the benefit of making your environment more flexible. A wireless infrastructure allows you to easily reconfigure your office space as your company grows and changes, to extend connectivity and to allow employees to be more mobile. And if you're in a leased building with no existing wired network, setting up a wireless network is much simpler than knocking holes in the walls. There are even wireless printers and printer adapters nowadays, so your entire office can go wireless.

37. Finding an E-Mail Service Provider
Every business needs e-mail, but there are a wide variety of offerings on the market. So take your time, ask the right questions and conduct a thorough investigation of what's available. It's worth the extra effort to select the e-mail provider that's right for your business.

When searching, you'll want to interview several potential providers. Although the questions you'll ask them will be specific to the needs of your business, this list should provide a good starting point:

  • How long have you been in business?
  • What features do you support beyond basic send, receive, reply and forward?

If you have a Web site and plan on hosting your site with your Internet provider, and if you'll need more bandwidth and e-mail addresses than what a standard consumer Internet account offers, you need to look into business services. Your options for Internet connections from home are satellite, DSL and cable, which are available in a variety of downstream and upstream speeds ranging from 400Kbps to 2Mbps. Monthly fees vary accordingly; they usually range between $40 and $100 per month, but can reach a few hundred dollars for higher speeds. If you travel quite a bit, you may want to look into some of the wireless Internet connection options, which provide an Internet connection wherever you go.

80. Loving the Laptop
Just because you have a desk doesn't mean you must have a desktop computer. A pricier but more flexible laptop may be the ticket. If you'll be doing a lot of business traveling or will need to take your computing power with you on sales calls, then a laptop is something to consider. They're also nice for getting out of your office for a while, even if it's just to sit on the back porch. And if you decide a laptop's the way to go, you might want to consider purchasing a monitor to view your laptop through when you're at your desk to save on eye strain.

81. Balancing the Budget
How much should you expect to pay to equip a home office? Here's a sample budget:

  • Computer: For roughly $1,000, you can get an IBM-compatible computer with a Pentium 4 processor, 512MB of memory, a 60GB hard drive, a 17-inch CRT monitor, a CD-ROM drive, a 56K modem and an Ethernet connection from Dell, Compaq, Gateway and other leading suppliers.
  • Multifunction machine: For $200 to $500, you can buy a machine that acts as a fax machine, copier and printer, which includes the ability to print out digital photos in color.
  • Two-line cordless phone: Today's top-of-the-line cordless phones start at less than $200, offering home offices the same full-duplex clarity as a corporate boardroom with a microphone optimized for hands-free conversations.
  • Phone service: All-inclusive packages from providers like AT&T, MCI and Verizon provide unlimited local, regional and long-distance calls for less than $60 a month.
  • Internet access: High-speed Internet access-broadband or DSL-is generally available for $40 to $100 per month.

Out With the Old: Ridding Your Office of Old Technology

82. Give It Away
Most old PCs have years of utility left in them--just not for you. There are tons of schools, community groups, senior homes and other needy institutions that would be happy to take them off your hands. Unfortunately, donation is another of the more costly disposal options. By the time you get done with moving, temporarily storing, shipping, tax record-keeping, making contractual arrangements with the beneficiary, possible testing and repair, and, of course, facing the ever-present legal exposure, IDC figures it will cost you $344 for each PC donated.

And the legal exposure is real. You could get sued for donating a defective or virus-infected computer, or you may be asked to defend the tax deduction. On the upside, the infrastructure for charitable donations is well-advanced, making this option less time-consuming.

83. The Resale Option
One popular option for PC disposal is selling them. IDC says your net out-of-pocket per PC is $272 if you can sell it to an employee for $100, and $119 if you sell it to a third-party broker for $200. (Remember, costs vary among disposal options and you'll still need to scrub the machines of company information.) The good news is, the PC is gone. But in both cases, you have to sell the PC before its value reaches zero. And those three years for a mid-range PC and four years for a high-end box go by quickly.

Of course, brands vary. You can look up the residual value of your PC in the Orion Computer Blue Book. You can purchase the latest version of the Blue Book with the most recent prices from the Orion Research website. You also can look up prices for individual PCs online at $3.99 per shot.

84. What Will It Cost?
In general, a lot of PC disposal costs are realized in soft dollars, and a certain amount of those are fixed. IDC says it will cost companies at least $150 for every PC taken out of service. First, there's the labor involved in physically removing a system and its network components, disconnecting peripherals and scrubbing the hard drive of software, passwords and sensitive company files. Then there's the downtime for employees during the move. After that, your costs will vary depending on how you choose to dispose of the old PC and may include payment for things like testing and repair or, in many cases, contractual or other legal costs.

85. Why the Dump Isn't the Answer
According to Gartner Research, more than 400 million computers will be replaced by individuals and businesses from 2004 to 2006. But according to ACNielsen International Research, only 15 percent of those polled realized they could recycle electronics in their local area.

Old PCs have chlorinated and brominated substances, Poly Chlorinated Biphenyls (PCBs) and Poly Vinyl Chloride (PVC), heavy metals, gases, acids and plastic additives--and that's just for starters. (For a complete list, see the SVTC website.) All those chemicals have incredibly long half-lives. You want your new house sitting on top of this stuff? Not to mention, the EPA will be all over you if you're discovered throwing PCs in the trash.

86. Exit Strategies for Computers
Old PCs don't die, and they don't fade away, either. The average PC will run almost forever, and the harmful chemicals inside it will survive in your local landfill for even longer. How many long-lived-but-obsolete computers is your company moving around among staffers? There's definitely a point of diminishing returns in holding on to PCs past their prime, as well as hidden costs in just about any disposal method you choose. Recycling, selling them to employees or giving them to charity are all viable options, but they all have costs attached--many of which may surprise you. It's a good idea to have an exit strategy for your old hardware--and it should be in place long before the intrinsic value of your PCs hits zero.

Complete depreciation is often here before you know it, but there's good news in that respect: After years of decline, PC life expectancies are in an upturn, says IDC analyst Alan Promisel. The average middle-of-the-road PC now has a useful life of about three years; a high-end desktop, about four years. But be careful: Nurse an old PC along for too long, and productivity suffers--for low-level staffers as well as managers. Worker efficiency declines along with equipment efficiency, so when software takes longer to load, screens take longer to redraw and incompatibilities start to occur, memory upgrades need to be deployed.

87. Auction Management Software
While it's possible to have a profitable business selling on eBay without using any additional software, good auction management software will save you time and money, make you more efficient, and improve the level of customer service you offer.

You can purchase software or subscribe to an online service that will help you create your listings, launch them manually or automatically at the time you determine, manage your photographs, count how often your listing is viewed, send e-mails to buyers, manage inventory, print shipping labels, post feedback and more. Some auction management service providers also offer payment processing. Auction management software will also provide you with reports that will help you manage your business more efficiently.

88. Postage 101
A postage scale is a valuable investment for eBay sellers. An accurate scale takes the guesswork out of postage and will quickly pay for itself. It's a good idea to weigh every piece of mail--both envelopes and packages--to eliminate the risk of items being returned for insufficient postage or overpaying if you're unsure of the weight. Mechanical scales typically range from $10 to $25 and will be sufficient as you are getting started. As your sales volume increases, you'll want a digital scale, which is somewhat more expensive--generally from $50 to $200--but significantly more accurate than a mechanical unit. Or you may want to invest in an electronic computing scale that weighs the item and then calculates the rate via the carrier of your choice, making it easy for you to make price and service comparisons. Programmable electronic scales range in price from $80 to $250.

Postage meters allow you to pay for postage in advance and print the exact amount on the mailing piece when it is used. Meters also provide a "big company" a professional image, are more convenient than stamps, and can save you money in a number of ways. Postage meters are leased, not sold, with rates starting at about $30 per month. They require a license, which is available from your local post office. Only four manufacturers are licensed by the U.S. Postal Service to manufacture and lease postage meters; your local post office can provide you with the contact information. Smaller eBay sellers find that buying postage online is an affordable and convenient alternative to leasing a postage meter.

89. Say "Cheese"!
Besides your computer, the most important piece of equipment for an eBay seller is a digital camera. Yes, you can use a traditional film camera but that means you spend time and money on processing, and then you have to scan the picture before you can put up an auction. And if your pictures don't turn out well, you'll waste even more time and money re-shooting your items. Be sure to get a good-quality digital camera, one that will show the detail of your products. There are many digital cameras on the market, and new technologies are being introduced regularly. If you don't know much about digital cameras, use the discussion board feature in eBay's "Community" section to get input from other users about which camera brands and models work well and which ones don't.

90. Getting a Good Deal
Whether you're buying items for your inventory, a major piece of office equipment or a toner cartridge for your laser printer, you should evaluate each vendor on quality, service and price. Look at the product itself, as well as the supplemental services and support the company provides. And always check eBay before you make a final buying decision. "We always check eBay first, and we find some pretty good deals there," says Gotham City Online's Jonathan Garriss.

91. The Basics
Getting started on eBay doesn't require a supercomputer, but some smart hardware decisions can give you a leg up in establishing an eBay business. The basics include a computer, a monitor, a digital camera and an Internet connection.

Chances are, you don't really need the latest and greatest PC. "I would recommend folks have a PC with at least 60GB of storage and at least 512MB of RAM and a CD-RW drive," says Gold PowerSeller Christopher Spencer (eBay User ID: borntodeal). Going with a trusted name brand is wise. An external tape backup or hard drive is a must that is often overlooked. You can't afford to lose all your data if your computer goes down. And since you'll be spending a lot of time at your machine, a comfortable monitor is also important. "Flat screens are so much easier to deal with, and the prices are so close to what CRTs used to be that I recommend sticking with a flat screen," says Spencer. Plus, they're easier on your eyes and won't hog up all of your desk space.

92. Going Old School
You may think that most typewriters are in museums these days, but they actually remain quite useful to businesses that deal frequently with preprinted and multipart forms, such as order forms and shipping documents. The determination of whether or not you need a typewriter is one only you can make based on your specific operation. A good electric typewriter can be purchased for $100 to $150.

93. Multitasking Machines
Multifunction machines, though they can have their drawbacks, save space and cover a lot of different office tasks like copying, faxing and scanning. These machines are one reason why standalone fax machines are a dying breed in many offices. You also get a lot for the money compared to buying separately. Look for a convenient set of features like a built-in flatbed scanner if you plan on scanning irregular items. Decent multifunctions start as low as $200.

But if you do a high volume of any one of your printer's extra multifunction features, you may be better off with a standalone version. Need to scan a ton of photos all the time? Get a standalone flatbed scanner. Need to handle some high volume copying in house? Get a standalone copier. Same with faxing.

94. Going Flat
You're a professional. Your business is on top of technology, and your hardware is up to the task. It's time to invest in a computer monitor to match your reputation and needs.

You know the score when it comes to flat-panel displays. They're space-friendly, easy-on-the-eyes, affordable productivity boosters. A 19-inch LCD has a screen size equivalent to a 21-inch CRT, with a fraction of the bulk and none of that annoying screen flicker. Entrepreneurs who can make use of all the space include those who work with large graphics, document layouts, spreadsheets and databases. Or you may just want the ability to have two applications open and usable side by side. Once you've experienced a 19-inch LCD monitor, you won't want to go back to a smaller screen. They're not the cheapest displays on the market, but the productivity gains balance out the price tag.

95. Digital Cameras
You can get an insane amount of megapixels in a digital camera these days-for a price. Fortunately, most entrepreneurs will find what they need in a very attractive price range. Only professional photographers or those working with super high-end graphics need to think about a $1,000 8-megapixel monster. For the rest of you who are looking to do your own brochures, upload images to the Web or document projects, you can easily keep it less than $500.

For those on a budget looking for quick snapshots or pics for the Web, a couple of megapixels for less than $200 will keep you busy enough. For those of you who are more photographically experienced and prefer output on the high end of the graphics scale, looking midrange and higher is a good idea. Higher megapixel cameras can produce large, detailed high-resolution printouts if you have a printer (or access to one) that can take advantage of all that digital information. Many also give you the ability to manually control all the camera's functions, a feature that's of interest to more experienced photographers.

96. Global Tracking
GPS has arrived: Equipment sales have doubled since 2000, to $15 billion in 2004, and could grow to $22 billion by 2008, says market research firm ABI Research. More than just sky-high mile markers, the government's GPS satellites can improve asset security, expense tracking and cost control--with location-based marketing, m-commerce (mobile commerce) and supply chain applications in the wings.

Entrepreneurs are the pathfinders. John Stull, 41, president of Global Tracking Communications in Murietta, California, has a growing business helping companies track outbound employees and vehicles. GPS is one of several technologies used by Ira Fefferman, president of Ballpark Pedicabs, to automate checking out and routing bicycles from his downtown San Diego depot. He can pinpoint the start/stop times, movements and locations of his pedicabs, which cost several thousand dollars each.

Large sales, service and delivery fleets dialed into the least-cost routing and expense-tracking benefits of GPS long ago. As equipment prices soften and services multiply, GPS is looking good to individuals and growing businesses, too.

Saving Money on Tech Purchases

97. Setting Up a Tech Savings System

A recent study of IT purchasing by New York City consulting firm McKinsey & Co. says timely purchases, clever negotiation and internal controls can help businesses save megabucks. The McKinsey team estimated that savings of 10 to 20 percent on IT outlays were possible using the following recipe:

1. Renegotiate existing contracts for services such as network support and consulting. Telecom is especially ripe for bargains. Start by setting standards for rates and auditing bills to make sure you're not overpaying. And instead of buying all long-distance, local phone and other telecom services from one vendor, dual-source it. Vendors will treat you better and charge you less.
2. Make sure you need whatever new technology you do buy. Inventory all PCs, printers and software. Look for opportunities to consolidate purchases, standardize configurations and root out duplication.
3. Set up a system to keep on top of things. Pick a team of people from your tech and other departments, and meet with them regularly to discuss what they need and how to save on it. That can save as much as 3 to 7 percent on IT outlays alone.

98. Warranty Warnings
You can't afford to have a key business hardware component go down without protection-a warranty will give you peace of mind. Most products come with some sort of manufacturer's warranty, and you'll frequently be offered an extended warranty when you're checking out. But think hard before you purchase that extra coverage: Many products won't earn back the cost of that extended protection. For example, you don't need a $50 extended warranty on a $200 PDA. But for some items, you may prefer to have the peace of mind. Laptops, for example, often come standard with a paltry one-year warranty. Extending that to three years can get you safely through until the next upgrade cycle.

99. Buying Online
When shopping for tech products, why not try that great bastion of bargains: the Internet. EBay can be a gold mine, but "buyer beware" still applies. EBay is useful if you know what you want, especially if you can narrow down a model number. A few things to watch out for are whether the original documentation is included and whether the warranty is still in effect and transferable. If in doubt, e-mail the seller first.

For some purchases, you can narrow down the seller's location to find someone nearby. That way, you can pick up the product in person and take a look. EBay is a place you probably don't want to go to for your primary computer, but the discounts may outweigh the risks for secondary machines. Items like cords, monitors and peripherals can be had at great savings and little risk if you do your homework first.

You can also try the online outlet stores of technology manufacturers-these stores carry discontinued and refurbished merchandise. Chances are, the prices will be good, but the warranties will be lacking. Refurbs are typically only under warranty for a few months at the most. After that, you're on your own. Still, refurbished can be an affordable option for adding a second or third computer to your business.

100. Bargain-Hunting Sources
Discount clubs like Costco and Sam's Club have decent-size technology sections and can net you good value on everything from laptops to printer cartridges. What you won't get is a lot of one-on-one service. If you're sure of what you want, go ahead and look out for good deals. If you need to ask questions, go somewhere else. You can always check prices on their Web sites before you join the club.

Speaking of shopping locally, you can also save money by working closely with a value-added reseller (VAR). This is a good route to explore for large purchases where you want the reseller to also be the installer. The reseller will be up on the latest special offers and promotions that fit your needs. Selecting the right VAR is also important. See how long they have been in business and whether they have experience serving your particular market. The technology needs of a graphic design business can be very different from those of a personal chef service.

101. Knowing What You Want
When it comes to buying technology products and services, part of the process of getting a bargain is knowing what you're looking for. Before you shop, you should have a pretty solid idea of how much power you need in whatever it is you're buying. For example, suppose you're scouting out a stock notebook with 256MB RAM but you know you'll be running intensive graphics programs and will need more memory than that. The time to buy that extra memory is right away. You'll get a better deal customizing it online to add another 256MB than trying to buy RAM later and upgrading. The same often goes for adding items like a DVD-RW drive. Make a shopping list that includes your bare minimum requirements-plus the extras you'd like to have-before you start shopping around.
